The type of personal information we collect 

We currently collect and process the following information:

  • Personal identifiers, contacts and characteristics (for example, name and contact details)

  • Contact numbers, mobile and home phone numbers

  • Email addresses

  • Payment Details and Shipping addresses

  • Our Agreement: made up of the confidentiality and session cancellation policy, documents including name and signature

  • Session data gathering details of diagnosis, medication, next of kin, GP details or letters, suicidal ideation history, referral source and any other relevant documents to our work

  • Analytics for marketing 

How we get the personal information and why we have it

Most of the personal information we process is provided to us directly by you for one of the following reasons:

  • All information is held in pursuit of doing the best therapeutic work possible and security of data is taken very seriously. 

  • For contact reasons, if sessions, classes, or orders are cancelled, delayed, rescheduled, a means of contacting you and keeping you up to date. 

  • For safety reasons in case of an accident or safeguarding concern. 

We also receive personal information indirectly, from the following sources in the following scenarios:

  • Wix website,

  • Google analytics 

We use the information that you have given us in order to review and monitor marketing.

We may share this information with the police or other organisation in case of a safeguarding issue.

Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information are:

How we store your personal information 

Your information is securely stored on a client management software from a highly reputable company “Mayden” who are ISO27001 approved. The British Association for Counselling & Psychotherapy have approved them. Their secure hosting is used by and has been assessed by the NHS and Ministry of Defense, for the storage of medical data. This software is protected by username and password and then cannot be accessed without requesting a 6-digit code, which is emailed, to my personal email address and then entered within a time limit. The system manages appointments and stores personal data about each client such as contact details, payment record and their notes from each session. In addition to the electronic data mentioned above, I keep a file with a hard copy. This hard copy is kept in a locked filing cabinet to which I am the sole key-holder until our work together is completed, then they are securely shredded. 

Details held electronically via ‘Mayden” are held securely for up to 5 years, to comply with my insurance providers policy requirements. Details for children are held for 5 years from the age they turn 16yr. 

All information is held in pursuit of doing the best therapeutic work possible and security of data is taken very seriously. Client confidentiality is still subject to the exceptions and will remain in place. We will then dispose your information by deleting any files and securely shredding any hard copies. 

Your data protection rights

Under data protection law, you have rights including:

Your right of access - You have the right to ask us for copies of your personal information. 

Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete. 

Your right to restriction of processing - You have the right to ask us to restrict the processing of your personal information in certain circumstances. 

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
